How it works

From the first minute to approved time

  1. Capture

    Start a timer from Today or from recent work, or type a duration for something already done. One timer runs per person, whichever tab or device you use.

  2. Correct

    Edit, split or duplicate entries. Work that crosses midnight is split at the local day boundary, so every work date stays right.

  3. Submit

    Send the week when it is complete. Each project’s hours go to that project’s lead rather than to one overloaded inbox.

  4. Approve

    Leads approve or return time with a comment. Submitted and approved time is locked on the server, and reopening it is recorded with a reason.

  5. Bill

    Approved billable time becomes available to invoice, once, at the rate that was in force when it was logged.

Where it makes a difference

A designer across three projects

Recent work keeps the week’s projects and tasks close at hand. Starting a timer on another task stops the running one in the same action.

A lead closing the week

Submitted time arrives by project and person, with descriptions and revision rounds, so the lead reviews the work instead of a spreadsheet.

Rounds on an identity project

Entries can be logged against a deliverable’s revision round, so time beyond the included rounds is visible while it is happening.

A patchy connection

If the connection drops, new entries and timer stops are kept on the device and sent when you reconnect, without creating duplicates.

Limits

What it does not do

Stated plainly, so you can decide with the whole picture.

  • There is no passive tracking. Studioflow does not watch screens, apps or browsing; time is what people record.
  • Calendar-assisted drafts need an optional calendar connection set up by an admin. Until then, nothing is read from anyone’s calendar.
  • There are no native desktop or mobile apps. The web app works in current browsers on desktops and phones.
  • Approvals are part of Studio and Scale. On Core, time is invoiced without an approval step.

Questions

Common questions

Can people change time after it is approved?
Not directly. Submitted and approved time is locked on the server. A lead with permission can reopen it to correct something, and the reopening is recorded in the audit log with its reason.
Which duration formats can I type?
90m, 1h 30m, 1:30 and 1.5h all work. Bare numbers can be ambiguous, so the field shows how it read them before anything is saved.
Do new rates change old entries?
No. Each entry keeps the billing and cost rates in force when it was logged. New rates apply to new time, and the invoice uses the snapshotted rate.
Can I add yesterday’s time without leaving the page?
Yes. Type a duration into yesterday’s cell in the week grid, or add an entry with a start and end time.
Is billable time rounded?
Only if your workspace sets a billing increment, and only on the invoice. Logged durations and costs stay exactly as recorded, and the adjustment is shown before you invoice.
